This Privacy Policy explains how we collect, use, store and share personal information when you visit or interact with damareos.com, shop.damareos.com, the Reputation Quiz, our forms, booking and scheduling systems, services, digital products and other online experiences operated by Damareos (collectively, the "Services").

How we use cookies and similar technologies is explained in more detail in our Cookie Policy, which forms part of this Privacy Policy.

By using our Services or providing information to us, you acknowledge the practices described in this Privacy Policy.

The information we collect depends on how you interact with Damareos.

Information you provide to us:

When you inquire about our services, complete the Reputation Quiz, book a consultation or Reputation Audit, work with us, contact us, subscribe to communications or purchase a product, we may collect information such as:

• your name;
• email address and telephone number;
• business or company name;
• website and social media details;
• country or location;
• information you provide through our inquiry, contact, booking or project forms;
• your answers to the Reputation Quiz and the result it gives you;
• information about your business, project, requirements, goals, timeline and anticipated investment;
• appointment and scheduling information;
• information you provide in preparation for a consultation, Reputation Audit or other booked service;
• recordings and transcripts of Reputation Audit calls, as described in section 7;
• correspondence and communications with us;
• information submitted during consultations or throughout a client project;
• billing and transaction information; and
• information you choose to provide when purchasing or accessing products through our online shop.

Please do not provide sensitive personal information unless it is necessary for the particular interaction and we have requested it.

• prepare for and deliver Reputation Audits, consultations and other services;
• record and transcribe Reputation Audit calls so we can send you the recording, transcript and written recommendations;
• prepare proposals, contracts, invoices and project documentation;
• provide our strategy, branding, website and related services;
• manage client relationships and projects;
• process transactions and payments;
• deliver products purchased through our online shop;
• provide customer and technical support;
• send booking confirmations, reminders and other service-related communications;
• operate, maintain and improve our website and Services;
• understand how visitors interact with our website;
• measure advertising and marketing performance;
• personalise or improve marketing where permitted;
• send marketing communications where you have subscribed or where otherwise permitted by applicable law;

3. OUR BASIS FOR PROCESSING INFORMATION

Depending on your location and the circumstances in which we process your information, we may process personal information where:

• you have provided consent, for example when you agree to receive marketing emails, accept non-essential cookies or agree to a Reputation Audit call being recorded;
• processing is necessary to take steps at your request before entering into a contract;
• processing is necessary to perform a contract with you, including where you directly book and purchase a service;
• processing is necessary to comply with a legal obligation;
• processing is necessary for our legitimate business interests, provided those interests do not override applicable rights; or
• another lawful basis is available under applicable data-protection law.

Our legitimate interests may include operating and improving Damareos, communicating with prospective and existing clients, administering appointments and services, understanding how our Services are used, protecting our business and measuring the effectiveness of our marketing.


4. INQUIRIES AND CLIENT INFORMATION

When you submit an inquiry through our Work with us form, the information you provide is processed through Dubsado, our client-management system.

We use this information to review inquiries, communicate with prospective clients, schedule consultations, prepare proposals, administer contracts and invoices and manage the commercial relationship between you and Damareos.

If you become a client, we may also collect additional information necessary to deliver your project and manage our relationship with you. We use Launchbay to manage client onboarding and projects, including sharing timelines, files, feedback and approvals with you. Project files, notes and documents are also stored and managed using Google Workspace, including Google Drive, and Notion.


5. THE REPUTATION QUIZ

When you complete the Reputation Quiz, we collect your name, email address and your answers to the quiz questions. This information is stored in Klaviyo so we can show you your result and understand which areas of your reputation may need attention.

The quiz includes an optional box to receive marketing emails from Damareos.

• If you tick the box, you are added to our email list and may receive emails, resources and updates from us. You can unsubscribe at any time.
• If you do not tick the box, your name, email address and answers are stored in Klaviyo, but you will not be added to our email list and will not receive marketing emails from us.
• We may use quiz answers, in combined form, to understand common challenges among interior designers and to improve our Services.

6. BOOKINGS AND APPOINTMENTS

Certain Damareos services, including the Reputation Audit, may be available to book and purchase directly online.

When you book an appointment or paid session, we use Calendly to manage scheduling. We and Calendly may collect information such as your name, email address, telephone number, business information, selected service, appointment date and time, time zone, your answers to the booking questionnaire and any other information you provide when making the booking.

We use this information to:

• administer and confirm your booking;
• process payment where applicable;
• prepare for and deliver the booked service;
• send appointment confirmations and reminders;
• communicate with you about changes, cancellations or rescheduling;
• provide relevant follow-up after the session; and
• maintain appropriate business and transaction records.

Calls take place on Google Meet. Calendly, Google and any other scheduling or booking providers we use may process this information on our behalf or under their own privacy terms.

If we change or add booking providers, this Privacy Policy may be updated where appropriate.


7. CALL RECORDINGS AND TRANSCRIPTS

Reputation Audit calls are recorded and transcribed using Google Meet, so we can send you the recording, the transcript and a written summary of our recommendations after the call.

We will tell you that the call is being recorded before the recording starts. If you prefer not to be recorded, let us know before or at the start of the call and we will take written notes instead.

Recordings and transcripts are stored in Google Drive and shared only with you. We use them to prepare your recommendations and, if you go on to work with us, to inform your project. We do not use them for marketing or share them publicly.

We may also record other calls, such as project meetings, where you agree to this in advance.


8. PAYMENTS

Payments for Damareos services, including services booked directly online, and, where applicable, products may be processed through third-party payment providers including Stripe.

Damareos does not generally receive or store your complete payment-card details. Payment information is submitted to and processed by the relevant payment provider in accordance with its own privacy and security practices.

We may receive and retain transaction information such as your name, billing details, payment status, amount, currency, date and transaction identifiers for providing the relevant service and for accounting, contractual, fraud-prevention and legal purposes.


9. ONLINE SHOP AND DIGITAL PRODUCTS

Damareos may operate an online shop at shop.damareos.com, including through Shopify, through which we may offer digital products, templates, resources or other products and services.

When you make a purchase, information necessary to process and fulfil your order may be collected, including your name, email address, billing information, order details and transaction information.

This information may be shared with service providers involved in operating the shop, processing payments, delivering purchases, preventing fraud and providing customer support.

Where Shopify or another ecommerce provider processes your information, its processing may also be governed by its own privacy practices.


10. EMAIL MARKETING

You may choose to subscribe to Damareos emails, updates, resources or marketing communications through the sign-up form on our website, through the Reputation Quiz or when you otherwise tell us you would like to hear from us.

When you subscribe, we collect your email address and, where you provide it, your name. We will only send you marketing emails if you have subscribed or where otherwise permitted by applicable law.

We use Klaviyo to manage these communications.

We may process information such as your name, email address, subscription preferences and engagement with our emails to deliver and improve our communications.

You can unsubscribe from marketing emails at any time using the unsubscribe link included in every email.

Unsubscribing from marketing communications will not prevent us from sending transactional or service-related communications that are necessary in connection with an inquiry, booking, purchase, project or existing business relationship.


11. COOKIES AND TRACKING TECHNOLOGIES

Damareos uses cookies, pixels and similar technologies to operate the website, understand visitor behaviour, analyse website performance and measure or personalise advertising.

Strictly necessary cookies are always active because the website cannot work properly without them. Analytics and advertising technologies, including Google Analytics, the Meta Pixel and the Pinterest Tag, are only used if you accept them through our cookie banner. You can change your choice at any time using the cookie settings link in the footer of our website.

12. ADVERTISING AND MARKETING

We may advertise Damareos through platforms including Meta and Pinterest.

Where you have accepted advertising cookies, these technologies may allow us and our advertising partners to understand whether someone who interacted with an advertisement subsequently visited our website, submitted an inquiry, booked a service, made a purchase or took another action.

Depending on your location, consent choices and the settings of the relevant platform, these technologies may also be used to create audiences, measure advertising performance or show advertising that may be more relevant to you.

You can manage advertising preferences through our cookie settings and through the relevant advertising platform.


13. HOW WE SHARE INFORMATION

We do not sell your personal information in the ordinary meaning of selling personal information for money.

We share personal information with the service providers below where reasonably necessary to operate Damareos.

• Showit: website hosting and operation
• Dubsado: inquiries, client management, contracts and invoices
• Launchbay: client onboarding and project management
• Calendly: scheduling and online bookings
• Google Workspace, including Gmail, Google Drive and Google Meet: email, file storage, video calls, call recordings and transcripts
• Notion: project management and client notes
• Klaviyo: email sign-ups, Reputation Quiz results and email marketing
• Stripe: payment processing
• Shopify: online shop and digital-product delivery
• Google Analytics: website analytics, only with your consent
• Meta: advertising and conversion measurement, only with your consent
• Pinterest: advertising and conversion measurement, only with your consent

We may also share information with providers of accounting, tax, legal and other professional services, and with providers of security, fraud prevention and technical support.

These providers may process personal information on our behalf or, in some circumstances, as independent controllers under their own privacy policies.

We may also disclose information where required by law, regulation, court order or lawful request from a competent authority, or where reasonably necessary to protect our legal rights, users, business or others.

If Damareos or Gentle Life Trading - FZCO is involved in a merger, acquisition, restructuring, financing, sale of assets or similar business transaction, personal information may be transferred as part of that transaction subject to applicable law.


14.INTERNATIONAL DATA TRANSFERS

Damareos is operated from the United Arab Emirates and works with service providers and clients internationally.

As a result, personal information may be processed or stored in countries other than the country in which you live, including the United States and countries in the European Union. Those countries may have different data-protection laws.

Where required by applicable law, we take appropriate steps to ensure international transfers of personal information are made subject to applicable safeguards, such as standard contractual clauses offered by our service providers.


15. HOW LONG WE KEEP YOUR INFORMATION

We keep your personal information until you ask us to delete it, unless we need to keep it for longer to meet a legal, tax or accounting obligation, resolve a dispute or enforce an agreement.

In practice, this means:

• inquiries, Reputation Quiz results and client files are kept until you ask us to delete them;
• call recordings and transcripts are kept until you ask us to delete them, and you can ask us to delete them at any time;
• marketing contacts are kept until you unsubscribe or ask us to delete your details; and
• invoices, payment and transaction records are kept for as long as UAE tax and accounting law requires, even if you ask us to delete your other information.

When we delete information, we delete it from our active systems. Copies held in backups by our service providers are removed in line with their own retention schedules.

16. YOUR PRIVACY RIGHTS

Depending on where you live and the laws that apply to the processing of your information, you may have rights relating to your personal information.

Damareos and its Services are intended for adults and businesses and are not directed to children under the age of 18.
